Who we are
FS7 Hair Studio is operated by FS7 Limited, with studios in Newcastle upon Tyne (Baller7 City Centre and Byker). FS7 Limited is the controller of the personal data described in this policy. Questions about it can be sent to admin@fs7.uk.
What we collect
Clients: your name, email address and phone number when you book, join the walk-in queue, or create an account; the services, barber, date and time you book; notes you add to a booking; and loyalty points earned on your account. If you opt in at our kiosk or online, we also record that you agreed to hear from us.
Payments: card payments are processed by Stripe. We never see or store your full card number — we keep only the amount paid and a reference to the payment.
Staff and contractors: name, contact details, working hours, the bookings they carry out and the figures needed to calculate weekly payments under their agreement with FS7.
Technical: a single essential cookie keeps you signed in. We don’t use advertising or tracking cookies.
How we use it
- To make, confirm, remind you about and manage your appointments.
- To take deposits and payments, and keep accounting records.
- To run our loyalty scheme and, only if you opted in, send occasional offers.
- To email booking confirmations, reminders and a review request after a first visit.
- To run the studio: staff scheduling, till records and weekly contractor payments.
- To keep the service secure and prevent misuse.
Our lawful bases are performing our contract with you (your booking), our legitimate interests in running the business, legal obligations (accounting), and your consent for marketing, which you can withdraw at any time.
Google Calendar data
Barbers can optionally connect their own Google Calendar to FS7. If they do, we request access to view when they are busy (free/busy information) and to create and remove calendar events for FS7 bookings. We use this solely to:
- stop clients booking a time when the barber is already busy; and
- add confirmed FS7 bookings to that barber’s calendar, and remove them if cancelled.
We don’t read event titles or details from the barber’s other appointments, we don’t share Google user data with anyone else, we don’t use it for advertising, and no person at FS7 reads it. Access tokens are stored encrypted. A barber can disconnect at any time from their staff profile, which stops all access, and can also revoke access in their Google Account permissions.
FS7’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who we share it with
We don’t sell your data. We use a small number of service providers who process it on our behalf: our hosting provider (Hostinger), Stripe for payments, Resend for sending email, and Google or Microsoft only where a barber has chosen to connect their calendar. Barbers can see the details of bookings made with them. We may disclose data if required by law.
How long we keep it
Booking and payment records are kept for as long as needed for accounting and tax purposes (generally six years). Your account and marketing preferences are kept until you ask us to delete or change them.
Your rights
Under UK data protection law you can ask to see, correct, delete or receive a copy of your personal data, object to or restrict how we use it, and withdraw marketing consent at any time. Email admin@fs7.uk and we’ll respond within one month. If you’re unhappy with how we’ve handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change this policy we’ll update the date at the top of this page.
